AnswerMate is a service provided by MOT Match Ltd ("AnswerMate", "we", "us", "our"), a company registered in England and Wales, registered office at 14/2e Docklands Business Centre, 10–16 Tiller Road, London, E14 8PX.

This policy explains how we collect, use, and protect personal data when you use AnswerMate — whether you're a business using AnswerMate to answer your calls (a "Customer"), or someone calling a business that uses AnswerMate (a "Caller").

1. Data controller

The data controller responsible for personal data described in this policy is MOT Match Ltd, trading as AnswerMate, registered in England and Wales, registered office at 14/2e Docklands Business Centre, 10–16 Tiller Road, London, E14 8PX. 2. Who this policy covers

AnswerMate involves two categories of people:

Customers — the business owners who sign up for AnswerMate to answer their missed calls.
Callers — members of the public who call a Customer's business and are answered by AnswerMate's AI assistant ("Nora"). Callers do not sign up for AnswerMate directly, but their call is still processed as described below.

3. What information we collect

From Customers

Business name, industry, address, opening hours, and services (collected automatically from your public website or provided manually)
Your contact phone number, for SMS lead notifications
Payment and billing information, processed by Stripe (see Section 6 — we do not store your card details ourselves)
Account and usage data related to your AnswerMate receptionist

From Callers

Audio recordings of calls made to your AnswerMate number
Transcripts of those calls
Information the caller provides during the call — for example, their name, phone number, and the nature of their enquiry
The caller's phone number, as transmitted by the telephone network

4. How we use this information

Customer information is used to:

Set up and operate your AnswerMate receptionist
Send you SMS notifications after each call
Manage your subscription and billing
Provide customer support

Caller information is used to:

Allow Nora to understand and respond to the caller's enquiry during the call
Generate a summary of the call and pass relevant details (name, number, enquiry, urgency) to the Customer whose business was called
Improve the accuracy and reliability of the AnswerMate service

We do not use Caller information for marketing, and we do not sell personal data to third parties.

5. Our legal basis for processing

For Customers: processing is necessary to perform our contract with you and to comply with our legal obligations (e.g. tax records).
For Callers: processing is based on our legitimate interest, and that of the Customer, in operating the business's telephone line and responding to enquiries. Callers are told during the call that they may be speaking with an AI assistant if they ask directly.

We do not sell, trade, or rent personal data to third parties. Some of these providers may process data outside the UK/EEA (for example, in the United States). Where this happens, we rely on appropriate safeguards such as Standard Contractual Clauses, consistent with UK GDPR requirements.

7. How long we keep information

Call recordings and transcripts are retained for 90 days, after which they are deleted, unless retention is required for a specific ongoing purpose.

8. Cookies and tracking

AnswerMate's website does not currently use cookies or similar tracking technologies. If this changes in future, we will update this section and provide a way to manage your preferences.

9. Children's privacy

AnswerMate is a business tool and is not directed at children. We do not knowingly collect personal data from individuals under 13.

10. Your rights

Under UK GDPR, you have the right to request access, correction, or deletion of your data, object to certain processing, obtain a copy of your data, and complain to the Information Commissioner's Office (ico.org.uk) if you believe your data has been mishandled.

11. Security

We take reasonable technical and organisational measures to protect personal data. No system is completely secure, and we cannot guarantee absolute security.

12. Changes to this policy

We may update this policy from time to time. We will update the "Last updated" date above when we do.
